What to include on nonprofit letterhead

  • Organization name and logo, matching your website and fundraising materials
  • Mission line or tagline: a short statement of what you do, or your founding year
  • Tax-exempt status. US charities often add "A 501(c)(3) nonprofit organization". Donors need this for their records.
  • EIN (optional). Many nonprofits print their Employer Identification Number on letterhead used for donation receipts and grant correspondence.
  • Address, phone, email and website, ideally including a donation page URL
  • Board of directors or advisory board (optional). Listing board members in a sidebar or footer is a long-standing nonprofit tradition that signals accountability.

Where nonprofits use letterhead

Donation acknowledgment letters and year-end tax receipts, grant applications and cover letters, sponsorship requests, volunteer verification letters, letters to elected officials, and thank-you letters to major donors. Many of these are kept for tax or audit purposes, so a consistent, professional letterhead adds credibility.

Design tips for nonprofit letterhead

  • Use the sidebar for your board. A sidebar layout like Open Table Food Bank's has room for a list of board members without crowding the letter.
  • Show staying power. A founding year in the tagline, like Coastal Wildlife Trust's, tells funders you're established.
  • Keep printing costs low. One or two colors are cheaper to print, and most nonprofit letters are printed in the office or sent as PDFs anyway.
  • Make a digital version. Use a Word or Google Docs template so staff and volunteers always send letters on the current version.

Donation receipt reminder

In the US, written acknowledgments for donations of $250 or more must include certain information, such as the amount and whether any goods or services were provided in return. Check current IRS guidance, or your own country's rules, for what your receipts must state. This is general information, not legal or tax advice.
