What to include on school letterhead
- School name and crest or logo
- District or governing body for public schools, for example "Maple Valley School District"
- Principal or head of school, and sometimes the assistant principal
- Address, main office phone, attendance line, email and website
- Grade levels or a founding year (optional), common for private schools
- Accreditation or a motto (optional)
Where schools use letterhead
Parent letters and newsletters, enrollment and verification letters, letters of recommendation for college applications, field trip permission slips, staff offer letters, attendance and disciplinary notices, and correspondence with the district or state. Families and colleges often treat a letter on official school letterhead as proof that the information is genuine, so control who can use it.
Design ideas
- Use school colors. A color band like Cedar Hills High School's builds pride, which is great for athletics and activities.
- Use a crest for heritage. Private schools and academies often use a centered crest with a founding year, like Westbrook Academy.
- Keep official letters formal. Consider a quieter version without the mascot for legal, attendance and disciplinary correspondence.
- Accessibility matters. Families may read letters on a phone or through a screen reader. Use real text rather than images for names and contact details, and keep contrast high.
Practical tips
- Check whether your district has brand guidelines or a mandatory letterhead before designing your own.
- Store one master template that front-office staff and teachers can access.
- Update the principal's name and the phone numbers at the start of every school year.
- Add a translated contact line if your community speaks several languages.
